## Start with the user’s work

A portal reduces repetitive work when customers can finish a useful task without asking someone to interpret the result. Showing a status label is not enough if nobody knows what it means or whether it is current. Begin with recurring questions and document requests, then identify which can be answered safely from reliable records.

## Keep the scope purposeful

A secure document area may be enough for occasional exchanges. A fuller portal is worthwhile when customers regularly check progress, update permitted details or complete an action. Keep assisted service available for exceptions. Account recovery, company membership and staff access belong in the scope because customers will encounter them before reaching the intended convenience.

## A scenario to rehearse

Imagine a manufacturer whose customers repeatedly request inspection certificates. The portal can show certificates for each customer's orders, their revision dates and whether a newer version exists. A customer should find the right order, download the current certificate and understand a missing document. That is a complete task. Displaying a folder of unexplained filenames merely moves the support problem.

## Avoid moving the problem

Test with two different customers, including a user who leaves one company and joins another. A guessed document link must not cross the account boundary. Avoid showing internal notes as customer updates. When underlying data is stale, show that clearly and provide a way to request help without forcing the customer to repeat the order information.

## Design the service around a complete customer task

For the certificate example, draw the route from a customer's question to a usable document. They must recognize the order, understand which certificate applies, obtain it and know whether anything remains outstanding. Put the document's business meaning beside the download: the equipment or order covered, its issue or revision date and its current status. A successful file transfer is not proof that the customer found the right evidence for their work.

Agree how records become customer-visible. Internal preparation, quality review and published availability should be separate states if those distinctions exist in the operation. Do not automatically publish every uploaded file. Define who releases a document, how a replacement is identified and what happens when a previously published certificate needs correction. The customer should see a clear explanation of a withdrawn or superseded document, while staff retain the history needed to answer questions.

Plan support and account changes with the same care as the download screen. An invitation may be sent to the wrong address, a customer may lose access or an employee may leave the customer company. Make the recovery route verify authority rather than merely forward a sensitive document to whoever asks. When the portal cannot complete a task, carry its order reference and safe context into the assistance request. The team can then resolve the exception without asking the customer to repeat the story. Track repeated questions after a successful download: they may reveal unclear document naming or missing context, rather than a need for more portal features.

## Four tasks to test with a customer representative

| Open an old shared link | The response explains a replacement or withdrawal and still checks the requesting person's access. |
| Ask about an unpublished document | The request reaches the responsible team with the right order reference and no exposed internal notes. |
| Remove a departed employee | Existing links and the next protected action respect revoked access while the company's other authorized users continue working. |

## How to assess the result

Which requests recur, and what prevents customers completing them today? Who keeps published records current? Which tasks still require a person? Start an automation discussion with recent anonymized support questions and their real answers. Use task completion and repeated contacts to assess whether the portal helps.
